What is an AI agent? A plain guide for business owners
The one-sentence version
An AI agent is a small piece of software that reads, decides and acts on your behalf, inside the tools you already use.
The words matter. Reads means it can consume email, PDFs, database rows, spreadsheets. Decides means it picks an action from a set you defined. Acts means it writes back into a real system - sends the reply, creates the invoice, updates the CRM row.

How an agent is different from ChatGPT
When you open ChatGPT you copy something in, read the answer, and copy it out. You are the operator. The model only produces text.
An agent removes that middle step. It has permission to read your Gmail directly, to open the CRM row, to write a Slack message. You configure the guardrails - what it may touch, what needs your approval - and the agent runs in the background.

What agents are good at right now
Not everything. The honest list, based on projects we have shipped:
- Sorting and drafting replies to email that follows patterns (quote requests, scheduling, FAQ).
- Reading invoices or receipts and pushing them into accounting software.
- Watching a shared inbox and creating tickets or CRM rows.
- Enriching sales leads with public information from the web.
- Answering repeated customer questions on a website in your voice.
- Booking meetings across calendars without a scheduling tool.

What agents are still bad at
- Anything that requires judgement about a person's tone or intent when the stakes are high.
- Legal, medical or financial advice that isn't scripted.
- Multi-step negotiations where the other side is another human with strategy.
- Tasks where the cost of a mistake is much higher than the cost of doing it yourself.
Where agents fit in a small Finnish business

No. Agents use existing language models like GPT-4o or Claude through an API. You pay per use, typically €30 to €150 per month for a small-business agent. No model training or infrastructure of your own.
Is my data safe when an agent reads it?
Only if the setup is right. We use API tiers that don't train on your data, keep secrets in encrypted storage, and scope permissions to specific folders or tools. GDPR-compatible setups are standard for our Finnish clients.
How long does it take to build one?
A focused single-purpose agent (email triage, invoice entry, customer FAQ) is usually 2 to 4 weeks from first conversation to production, including a two-week shadow period where you approve every action before it runs live.
