AI agent integrations: what actually connects to what in a Finnish SME
Integrations are 80% of the work
The AI part of an AI agent is often the easy part. The hard part is connecting it to the tools that actually run your business. Below is a plain-language field guide, based on real Finnish SME stacks.
Tier 1: plug and play
These have modern REST APIs, official SDKs, and OAuth. An agent connects to them in hours, not days.
- Email & calendar: Gmail, Google Calendar, Outlook, Microsoft 365
- CRM: HubSpot, Pipedrive, Salesforce
- Chat & docs: Slack, Teams, Notion, Google Docs
- E-commerce: Shopify, WooCommerce, Stripe
- International accounting: Xero, QuickBooks
If your stack is mostly Tier 1, integration cost stays low.

Tier 2: Finnish essentials
These have proper APIs but require more auth setup, sometimes rate limits, and often need a Finnish-speaking partner to navigate the docs.
- Procountor: full API, good docs, needs a partner account
- Netvisor: API access, some endpoints paid extras
- Visma / Fivaldi: API works, but scoping differs by module
- Fennoa: modern API, straightforward
Plan an extra week of setup versus Tier 1. Costs go up €500 to €1,500 per integration.
Tier 3: possible with workarounds
- Older on-premise ERP (Passeli, older Fivaldi): often needs a nightly export to CSV that the agent reads
- Bank statements: usually via PSD2 aggregators like Enable Banking, not direct
- Old scheduling systems: often need an email-triggered workflow instead of a real API
- Booking software without APIs: agent works on the export, not live
Tier 4: don't try (yet)
- Any Windows program without any way to export data
- Systems where credentials must be entered every session with a hardware token and no service account
- Systems whose vendor forbids automated access in the terms of service

Before commissioning an agent, ask each tool vendor two things: "Do you have an API?" and "Can we get a service account or app token that doesn't require a human to log in?" If the answer to either is no, tell us before the quote.

What "integration" actually costs
A single Tier 1 integration is usually rolled into the base agent price. Each additional Tier 2 integration adds €500 - €1,500. Tier 3 workarounds add €1,000 - €3,000 depending on how ugly the source system is.
Two real examples
Small consulting firm
- Gmail (Tier 1) + HubSpot (Tier 1) + Notion (Tier 1) + Xero (Tier 1)
- Total integration cost: rolled into base €3,200 build
- Agent handles: inbox triage, meeting notes, invoice drafting
Small e-commerce brand
- Shopify (Tier 1) + Klaviyo (Tier 1) + Procountor (Tier 2) + Posti API (Tier 2)
- Total integration cost: €3,500 base + €1,800 for two Tier 2 systems = €5,300 build
- Agent handles: order questions, refund processing, invoice sync to accounting
The step you can take today
Make a list of every tool your team logs into during a week. Note the vendor. Send it in when you request a quote. That single list cuts one full round of back-and-forth from the process.
