AI agent pricing in Finland: what does it really cost?
Why pricing is confusing
Most agencies won't tell you the number. Ours does. Below is what we actually charge and what it actually costs to run, based on projects delivered to Finnish SMEs over the last twelve months.
The three cost buckets
Every AI agent has three separate costs. Confusing them is where most bad quotes come from.
- Build cost — one-off. Discovery, prompt design, integrations, testing, shadow launch.
- Runtime cost — monthly. Language-model API calls, hosting, monitoring.
- Change cost — as needed. When your process changes and the agent needs an update.

Email triage & draft agent
- Build: €2,500 - €4,500
- Runtime: €30 - €80 / month
- Typical payback: 3 to 5 months for a 5-person team
- Where it hurts: teams that spend 10+ hours a week on email
Customer service agent (website + email)
- Build: €3,000 - €6,000
- Runtime: €50 - €120 / month
- Typical payback: 4 to 8 months
- Where it hurts: after-hours support, repeat questions eating your team
Invoice / admin agent
- Build: €2,500 - €5,000
- Runtime: €40 - €100 / month
- Typical payback: 4 to 7 months
- Where it hurts: manual entry of supplier invoices into Procountor, Netvisor or similar
Sales research & outreach agent

- Typical payback: harder to measure, usually judged by pipeline volume rather than hours saved

What drives the price up
- Number of systems the agent talks to (each integration is real work).
- Whether your tools have modern APIs or need scraping.
- Volume - a small inbox costs less to run than a busy one.
- How much oversight you want early (more approvals = more UI to build).
What drives the price down
- Clean existing tools (Gmail, HubSpot, Xero, Procountor - well-documented APIs).
- Starting with one narrow job and expanding later.
- Willingness to run in shadow mode for the first two weeks (cheaper than building complex undo systems).

The payback question
A useful back-of-envelope: hours saved per week × your loaded hourly cost × 52 = annual saving. Divide the build cost by that number, and you have payback in years.
Example: an email agent that removes 4 hours a week from a €40/h role saves €8,320 a year. A €3,500 build pays back in about 5 months.
What we won't quote without a conversation
- Anything involving regulated advice (legal, medical, financial). These need risk conversations, not price lists.
- Highly custom integrations with old on-premise software.
- "One agent to do everything." That's not one agent - that's five, and it needs a scoping call.

Frequently asked questions
Why is AI agent pricing so unclear?
Because the price is three separate things: one-off build, monthly model usage and maintenance. Many quotes only state one of them. Always ask for all three separately, so comparison is possible and you know which costs continue after launch.
What drives the cost up most?
Integrations, not the AI. Connecting to systems without a proper API is by far the most expensive part, and it is not something a faster model can shortcut. The other cost driver is any requirement for human approval, because that needs an interface of its own.
When does an agent pay for itself?
The arithmetic is straightforward: hours saved per week times your hourly cost, against the build and running costs. If the task takes more than five hours a week, payback is typically a few months. If it takes under an hour, an agent rarely makes sense even where it would technically work.
